This release focuses on improving flexibility, visibility, and control across Workflows and Case Manager. It introduces more adaptable document collection, the ability to re-engage customers by re-sending tasks, and clearer visibility into participants and activity. In addition, real-time updates ensure agents always see the latest progress without manual refresh.
New features
This release includes the following new features:
Collaboration Room
👁️ Allow participants to view External Documents without taking action
A business configurator can assign a Viewer role to co-participants in an External Document Workflow step, allowing them to view the document without being required to take any action. Viewing is optional and does not impact the progress of the Workflow.
This is useful when additional stakeholders need visibility into a document—for example, sharing a document with a spouse or colleague—without involving them in the signing or approval process.
For more information, see Add External Documents in a Workflow.
📄 Add flexibility to document collection requirements
BCs can now define a minimum number of documents for a Document Request step, without restricting which specific documents are uploaded. Customers can choose any documents from the list to meet the requirement and continue adding more if needed.
When agent selection is enabled, agents must select at least the configured minimum before sending the Workflow, with validation that blocks sending until the requirement is met. Customers then receive clear guidance throughout the step ensuring that they provide at least the minimum number.
For more information, see Add Document Requests to a Workflow.
Case Manager
🔁 Fix incorrect or outdated customer submissions
Agents can now re-send customer-facing tasks to quickly resolve incomplete, outdated, or incorrect submissions. The customer is prompted to complete the task again in the Collaboration Room, while all previous submissions and attempts remain visible, ensuring full context and traceability.
Admins can control which tasks are eligible for re-send, making this available only where it’s relevant, such as document collection.
For more information, see Configure a case type and Complete a case.
⚡ See customer activity and Workflow progress instantly
Case Manager now updates in real time, so agents can immediately see customer activity as it happens, without waiting or refreshing. Updates are pushed directly from the server, ensuring the UI always reflects the latest state across all agents viewing the case.
This includes live updates to participant status (such as connection, verification, and consent), instant visibility of newly uploaded documents, and automatic updates to Workflow steps as they are completed.
👁️ Include viewers in Workflow participant visibility
Agents can now see viewer participants alongside signers and approvers in the Case Manager status line. When viewers are part of a Workflow, a viewer count is added (for example, “0/2 Signed – 1 Viewer”), helping distinguish between action-required roles and read-only participants, without impacting Workflow progression. Viewer is a new participant role introduced in this release for all collaboration sessions and is now reflected in Case Manager for full participant visibility.
Fixes
Collaboration room
Resolved the following issues:
A number Attribute with a maximum character limit did not ignore extra non-digit characters when pasted into an agent form, causing them to be counted toward the limit.
The copied session URL for Embedded Sessions incorrectly used “=email” instead of “=self” when system-level settings were disabled, causing access issues.
Fields that were conditionally required in a form were not marked with an asterisk, even when the condition was met.
Section visibility conditions did not reset when a parent selection changed, causing hidden sections to still affect dependent visibility logic.
Admin Center
Resolved the following issues:
Adding a condition to a section in an HTML document changed the formatting, increasing paragraph line spacing when the section became visible.
Cell background colors in the HTML designer could not be set using HEX color codes, and only default colors were applied.
Using the “Add PDF’s attributes to form” action in the Workflow builder failed and triggered an error, preventing form selection.
HEX color codes could not be typed or pasted into cell style settings in the HTML editor, preventing custom color input.
